Overview

A rapidly growing service-based company relied on a completely manual process to manage and prepare weekly payroll. Employees submitted timesheets through scattered spreadsheets and emails, and the payroll manager spent nearly 16 hours every week verifying entries, correcting errors, and formatting the data for Xero. This inefficient workflow not only delayed payroll but also created significant frustration, reduced accuracy, and provided almost no visibility into real-time staff hours.

To solve this, WeXL Business Solutions designed a fully automated, end-to-end Timesheet & Payroll Integration System built on JotForm, Google Sheets, and App Script automation. The new solution allowed employees to submit timesheets through a secure online form while instantly syncing structured data into a centralized Google Sheet. From there, a custom-built reporting engine enabled the payroll manager to generate weekly summaries and download a perfectly formatted, Xero-ready payroll file with a single click.

The Problem

A growing service-based business was struggling to keep up with its manual weekly payroll process. Each week, the payroll manager had to collect timesheets from multiple employees, verify hours, and prepare input files for Xero — a task that took over 16 hours.

The process was time-consuming, error-prone, and often delayed payroll runs, affecting staff satisfaction and management visibility.

Project Goals

    WeXL Business Solutions designed and implemented a custom JotForm-based timesheet management system integrated with a Google Sheets automation layer.

    The workflow allowed employees to submit timesheets via a secure online form, capturing all necessary fields such as:

  • Employee details and work dates

  • Job codes or project identifiers

  • Start/finish times and total hours

  • Breaks, allowances, and comments

  • Once submitted, the data was automatically logged into a structured Google Sheet. From there, WeXL developed a smart report generator that empowered the payroll manager to:

  • Select any employee from a dropdown menu

  • Instantly generate a weekly timesheet summary

  • Automatically prepare a ready-to-import Xero payroll template.

    Form Structure Design

    Designed a guided, error-proof JotForm with:

    System Architecture

    Built a structured Google Sheet as the database. Created logic to categorize by employee, date, and week.
